AI for Small Businesses in Volusia County: A Plain-English Guide

A Plain-English Guide • Volusia County
This guide is for owners and managers in Volusia County who keep hearing about AI and want straight answers: what it is good at, what it gets wrong, what it costs, how to keep customer information safe, and where a small business should start.
THE SHORT VERSION

What AI can and cannot do for a small business

Today's AI tools work with language and patterns. They write, summarize, sort, answer and draft faster than any person, and they can be wrong while sounding completely sure. Dustin Berg puts it this way in his book No Elk in Maine: a department's output, an intern's judgment. Never hand it work you cannot check.

Good at: first drafts

Emails, posts, replies, summaries, job descriptions and proposals. A person edits and sends.

Good at: repeat questions

Answering the same customer questions on the phone or on your website, from answers you approved.

Not good at: facts it was not given

Prices, laws, medical details and anything recent. Without a source, it may invent one.

Not good at: judgment

Whether to discount, how to calm an upset customer, what your brand would never say. That stays with people.
WHERE TO START

A three-step start that does not waste money

Run the two questions

List what your team does more than twice a week. For each task, ask the two questions from No Elk in Maine: can AI produce a first pass that is about 70 percent right, and can you catch an error in ninety seconds or less? Two yeses: hand it off. AI can do it but you cannot check it quickly: keep a person close. AI cannot really do it: keep it.

Fix the process first

Delete the steps that do not need to exist before you automate any of them. Automating a messy process only makes the mess run faster. Automate last.

Start with one

Pick one task, write down the number it should move, such as missed calls or the time it takes to answer a new lead, and check that number a month later.

COMMON QUESTIONS

Questions owners ask about AI

Plan for three costs. The tool itself, often a monthly subscription per person or a charge based on use, such as minutes of calls or number of conversations. The setup: writing the instructions and knowledge, connecting your systems, and testing. And upkeep: someone checking what it produces and updating the answers when your business changes. We scope all three with you before anything is built.

Only with rules. Free personal accounts can keep and use what you type in ways a business account does not, so use business accounts with data controls, and keep a short list of what never goes in: customer health or financial details, passwords, contracts and anything you promised to keep private. Medical, legal and financial offices have stricter obligations and should check them before choosing a tool.

With one repeat task, not a big project. Good first candidates: answering calls and website questions, drafting follow-ups, and training the team on everyday tools. Pick the task that costs you the most time or the most missed customers, and measure it before and after.

It should not make promises for you: prices, discounts, refunds, diagnoses, legal advice or anything you would be held to. It should not handle an upset customer without a person ready to step in. It should not pretend to be a person. And it should not publish anything nobody checked.

Ask for real work with real businesses. Ask what they would not use AI for, and how they check what it produces. And ask the question Dustin Berg asks of himself: did you know how to do this before AI?

It is worth it when it solves a problem you already have: missed calls, slow follow-up, hours lost to the same paperwork. It is not worth it as a trend to keep up with. If you cannot name the task and the number it should improve, wait.
